Please list all types of items that are sold at your booth. Examples are: Baked Goods, Honey, Produce. Another example would be a vendor selling several different items such as: Stuff Animals, Body Soaps and Scrubs. No additions can be added to your booth without the expressed consent of the Sanford Marketplace. (Example: A vendor who has reported selling Baked Goods cannot bring Jewelry to add to their merchandise.)

2024 Rules
Businesses and organizations must rent a space to participate in Alive After 5 hereinafter referred to as (AA5) each week. A new application must be completed annually and will remain in effect unless changes are made – i.e., change of address, contact name, change in products sold and/or added to. Application rules remain in force for the entire year and not just the week the contract was signed.
Any vendor that sells a product or service at the event that is not in compliance with the Vendor Selling rules and regulations may be asked to leave the event immediately, forfeit rental fees paid, and face possible banning from future events.
In the AA5 application each vendor is to list all items for sale. They can be general in nature, such as CBC products, pet treats, jewelry, desserts, etc. But if the list includes any items that are not related to the “general listed products,” detailed itemization needs to be included, such as “pet treats and also selling flowers.” All items will be approved and signed off by a representative of the Sanford Marketplace.
AA5 will be held “rain or shine” – unless the weather is dangerous (e.g. hurricane). In case of dangerous weather, the Sanford Marketplace will put out an advisory. Should you decide not to come, NO refunds will be issued.
Event Hours for vendors: 5 pm to 9 pm. Set up starts at 4 pm. Once a vendor is set up they can start selling. All vendors must be ready to sell no later than 6 pm.
Set up time starts at 4 pm and must be completed by 5:45 Please be prompt. No vehicles will be allowed into the market perimeter after 9:45 am (8:45 am for summer hours). Should a vendor not be set up by 10am (9 am for summer hours), your spot will be reassigned for the day. This ensures we have a presentation of a full market. Before setup, all participants must check in with the Event Manager to be given their assigned space location. Cars wishing to unload and set-up materials are not permitted to block 1st Street walkway. Please load-in on the square side of 1st Street. NO CARS are allowed to park on 1st Street for the duration of the event. Be a good neighbor – 1st Street is reserved for customer parking only.
Breakdown is NO SOONER than 8:45 pm unless there is inclement weather or otherwise by prior written agreement with the Event Manager. All participants must clean up their own booth before leaving the event. Selling out of products does not allow you to pack up early, so please come prepared for the day. No vehicles will be allowed into the market perimeter before 9 pm.
Participants are prohibited from fundraising at the event unless approved in writing by the AA5 management prior to the event.
The AA5 management reserves the exclusive right to refuse participation to any business or organization for any reason.
Smoking, vaping, etc. in your designated market space is strictly prohibited. Vendors must use the alleyways or be outside the market perimeter. If caught smoking within the market perimeter, you will be given a verbal warning and then on the second offense, you will not be asked back.
Vendors are expected to stay within their designated space and may not give out free samples in the common areas or call out to people walking by.
When setting up your tent, vendors must have weights on the four corners of your tent and all cords that are plugged in must be covered with commercial mats. This assists in the safety of our market for every vendor, as well as our customers. See here for example:
Vendors' pets are not allowed at the market.
Exclusively is not guaranteed.
In order not to over saturate the market a 10% rule is applied. The event is located in Sanford’s square/Magnolia Ave can hold up to 20 vendors. Using 10% as the rule, vendors selling the similar items will not exceed 2 or 3 vendors.
Negative remarks regarding another vendor personally or their products will not be tolerated. Such behavior could lead to removal from the event.
Please confirm your attendance on a monthly basis.
All vendors should attend markets consistently on their committed dates: Strong farmers markets are grown, not born. No market started out as big and strong. It takes dedication and consistency to develop a footing in the community and a solid customer base. Customers do not return when vendors don’t show. Without your presence, the “market draw” is reduced a notch. Markets suffer due to poor vendor attendance.

A Google form will be sent by the 15th of the month asking for availability for the following month. Please respond by the 20th of the month or we will assume you no longer want to be a vendor.

Once your availability is recorded, we can no longer accept verbal acknowledgments regarding attending, amending, missing, etc. After this point, all communication must be put in writing and emailed to aliveafter5sanford@gmail.com.

To secure your spot for the following month, payment must be received by the last Saturday of the month. Failure to pay on time will result in losing your spot for the next month.
Cancellations and No Shows
Please pick your market dates wisely. Once you are scheduled and have committed to your market dates, should you find you have a personal emergency, you must email aliveafter5sanford@gmail.com by 9 am on Tuesday. Vendors will be allowed one approved cancellation for the season, however, cancellations can result in becoming a “floater” (see below) and there will be no refunds for any cancellations.
Failure to communicate with us by Tuesday at 9 am or not showing up the day of the event results in a “no show.” This is unacceptable and vendors will not be asked to come back to the market. If there is a personal emergency, you must still email AA5 or it will count as a no show.
For businesses that have employees selling at AA5, you are responsible for communicating with us. If your employee has a personal problem (i.e. transportation issue), we expect that you have a back-up plan and someone shows up on time to fill your spot. Failure to communicate and/or provide someone to fill in will also result in a no show.

“Regular Vendor” vs. “Floater”
To be considered a “regular vendor” (i.e. have priority over other vendors and keep your space), you must consistently be at the market three out of four Saturdays (four out of five Saturdays if a month has five Saturdays). Vendors who choose to commit to less than this will be considered a “floater” and will not be given priority and/or their desired
space. We understand that you may need to take a Saturday off a month, however, we otherwise expect vendors who desire a certain space and priority to be committed to the market. (Due to unforeseen circumstances, regular vendors may need to be moved around from time to time, however, we will try our best to give you your desired spot.)
We expect vendors who are upfront (spaces 1, 2, 3, and 4) to be fully committed to the market, with only taking one or two Saturdays off a year.
Vendors may not get someone to “fill in” their space unless there is a personal emergency and you have already received written permission from the market. (Example: If you sell products with a certain company, you can not get someone else from that same company to fill in your place for a Saturday.) This will be considered a “no show” and will jeopardize your standing with the market.

Project Sanford (Alive After 5) shall have the authority to approve or deny applications from vendors to participate in the event, but any denial must be based upon non-discriminatory and operational determinations.

Project Sanford (Alive After 5) may establish and enforce the hours of operation for the Market. Hours of operation shall include, but not be limited to, hours and days when sales may occur, required set-up times, and closures due to inclement weather and other causes all subject to the times established in the provisions hereof.

All vendors shall be required to meet all Federal, State and local laws, rules, regulations, codes and ordinances and shall adhere to all such requirements at all times. Any required licenses shall be displayed as may be required by law or the permitting authority.
Any required current local business tax receipts shall be procured from the City.

Vendors shall be charged for the use of AA5 space as may be determined by Project Sanford.

Vendor sales may be for plants, bakery goods, produce, dry goods, consumable items, and associated and related holiday/seasonal items. Vendors may, more specifically, sell farm and food products including, but not limited to, fruit, vegetables, dairy, cut flowers, plants, cheese, cider, jams, jellies, relishes, honey, canned goods and baked goods. Vendors are liable for their own products. Project Sanford and the City shall not be held accountable, liable or responsible for any product offered by a vendor. The sale, use or possession of alcoholic beverages is prohibited unless approved in accordance with the special events processes and procedures of the City. The sale of live animals is prohibited. All products shall be of high quality and shall be clearly priced.

Product insurance requirements may be imposed by Project Sanford.

Vendors shall be 18 years of age or older. Younger children may participate with a responsible adult having supervision of children at all times and the adult shall be responsible for the conduct and safety of any children present.

Vendors shall display their respective business names at all times during which they operated at the Market.

All vendors are responsible for payment of any local, State or Federal taxes.

Vendors shall present their products in a professional and clean manner, including the display of such products. Selling spaces shall be kept clean and neat. Samples may be offered, but only in a sanitary manner.

Use of profanity or belligerence shall be grounds for termination of selling privileges and immediate removal from the Market. Vendors shall maintain a courteous and professional manner at the Market. Acting in a manner that does not reflect highly upon the City in that it is not a generally accepted business practice is prohibited. All profane, abusive, discourteous, and boisterous language or conduct at or about the Market, by whoever uttered, is prohibited.

Vendor’s products and signage shall be contained within the selling space unless otherwise approved by the Sanford Marketplace. Vendors are not allowed to walk the market to promote their business. All sales and promotions must be done within the footprint assigned to the vendor.

Growers who use AA5 for sale of produce are subject to field inspections to verify the source of produce offered for sale. Growers may only sell first quality products at the Market.

Space size used at the AA5, and the location of that space, shall be apportioned, signed and enforced by Project Sanford.

Fraudulent, dishonest, or deceptive merchandising, disruptive behavior, or collusion to set prices among vendors are prohibited. Vendors may distribute written materials as part of their for profit activities but not in violation of these rules; however, the content of materials shall not be evaluated by the Welcome Center and only if material is unlawful shall the City's Police Department be contacted.

Vendors shall be solely responsible at all times for the cleanliness within their vending area regardless of the origin of the debris in that location. Each vendor is required to leave his or her space clean at the end of the day. Each vendor shall remove all residue or waste products, as well as signs, tents, tables, etc. at the end of each Market day.

Vendor parking shall be in designated areas only. No motor vehicle of any type is permitted in the Event area once the AA5 opens unless by prior approval by Project Sanford has been issued.

AA5 space is intended solely for use by for-profit enterprises and is intended to enhance the economic vibrancy of the Historic Downtown area wherein the Event is located. Space will not be allocated by the Project Sanford (Alive After 5) to a person or entity regardless of the views of the person or entity and regardless of the nature of the person or business when the space is not proposed for use in a for profit manner as set forth herein and is intended for use to proselytize, distribute literature, promote a cause or engage in any similar conduct or activity. Space shall not be allocated for religious, political or any other similar activity.

Project Sanford (Alive After 5) shall have supervision and control authority over the activities of AA5 and the designated areas spaces assigned. Project Sanford (Alive After 5) shall ensure that it does not extend or assert any jurisdiction over City streets, parks or facilities beyond the specifically permitted areas provided for under the terms and conditions of this Permit and Agreement.
By signing you acknowledge you have read and understood the rules as outlined by both the Historic Sanford Welcome Center and the rules as outlined by the City of Sanford.
Hold Harmless and Indemnification Agreement
I hereby agree to indemnify and hold harmless Project Sanford, Inc and their officials, officers, employees, agents, servants, volunteers, invitees and guests from and against all suits, actions, claims, damages, losses and expenses, including reasonable attorneys’ fees arising out of or resulting from the event and all costs of litigation and judgments, claims for damages or injuries, including death, to persons or property of whatever kind or character, whether real, personal or mixed, asserted or occurring from every name and description arising out of or incidental to any event held by Project Sanford, Inc in which I participate as a vendor, whether or not due to or caused by the negligence of Project Sanford, Inc, excluding only the sole negligence of Project Sanford, Inc. I agree that this is a binding agreement that is intended to be as broad and inclusive as allowed and shall be governed by, construed, and enforced in accordance with the laws of the State of Florida.
